Terms and conditions (AGB)

This translation is provided for information. The German version is legally binding.

Prices and payment

(1) The following terms and conditions apply to contracts you enter into with Hellas Event Center GmbH, Nico-Flatau-Platz 4, 30926 Seelze-Letter (hereinafter „we“) on site, via means of remote communication or via the websites https://hellas-event.de and https://eventcraft-navigator.lovable.app, unless otherwise agreed in writing. Deviating terms and conditions apply only with our express consent.

(2) A consumer is any natural person who enters into a legal transaction for purposes that are predominantly outside their trade, business or profession. A business is any natural or legal person or partnership with legal capacity that, when entering into a legal transaction, acts in the exercise of its trade, business or profession.

Tickets and cancellation by the customer

(1) The contract covers admission tickets (tickets) for events, table reservations, food and drink pre-orders, vouchers and the hosting and catering of celebrations and corporate events on our premises.

(2) The essential features are set out in the respective offer or on the event page.

Events, groups and corporate bookings

(1) Our online and on-site offers are non-binding.

(2) Online tickets: By clicking the „Order with obligation to pay“ button, you submit a binding offer. The contract is concluded when we send our order confirmation by email. You can review and correct your entries at any time before submitting.

(3) Tickets sold through the ticket service Gastro.Digital / tickets.gastroguide.de are subject to the terms displayed there; Hellas Event Center GmbH remains the organiser.

(4) Enquiries by phone, email, WhatsApp or form are non-binding. On request, we will prepare a customised offer that remains binding on us for 5 days, unless otherwise stated. You accept it by confirming in text or written form.

(5) Processing takes place by email and is partly automated. Please ensure that your email address is correct and that our emails are not blocked by spam filters.

(6) The contract language is German. We store the contract text and send it to you in text form with the order confirmation.

Binding total price and number of participants

(1) All prices shown are final prices including statutory VAT. Any advance booking or payment fees are shown separately before you place your order.

(2) Time-based or quantity-based pricing tiers (e.g. an early booking price valid until a specified date or ticket quantity) apply as indicated on the event page.

(3) Payment is made using the payment methods offered during checkout (e.g. card payment via Stripe, cash payment on site for reservations). For reservations with a collection deadline, unpaid reservations expire once the deadline has passed.

Changes to the number of participants

Consumers have no right of withdrawal for contracts for tickets, reservations and event services booked for a specific date or period (§ 312g para. 2 no. 9 BGB). For vouchers and pre-orders without a fixed date, the statutory cancellation policy applies.

Cancellation of an event booking

(1) Ticket purchases are binding. Tickets cannot be cancelled, returned, exchanged or refunded – regardless of when the customer cancels. There is no statutory right of withdrawal (§ 5).

(2) A ticket may only be transferred to another person with our prior consent in text form; there is no entitlement to such consent.

(3) Unused services (e.g. late arrival, early departure, food and drinks not consumed) are not refunded.

Programme changes and artist cancellation

(1) Each event booking is based on a total price for the agreed number of guests, the agreed services and the agreed decorations.

(2) The number of guests agreed upon at confirmation is binding. If fewer guests attend, the full total price remains payable. The number of guests may only be reduced with our express consent in text form.

(3) An increase in the number of guests requires a separate agreement in text form at a recalculated price. Without such an agreement, we are entitled to refuse entry to additional guests.

(4) Upon confirmation, a deposit of 50 % of the total price is due, with the remaining balance due no later than 14 days before the event date, unless otherwise agreed in text form.

(5) If the customer cancels the booking, they owe a flat-rate cancellation fee: 50 % of the total price if the cancellation is received at least 90 days before the scheduled date, 80 % if received at least 30 days before the scheduled date, and 100 % thereafter. The date we receive the cancellation in text form is decisive.

(6) The customer retains the right to prove that we incurred no loss or a substantially lower loss. We retain the right to prove a higher loss.

Cancellation, force majeure and official orders

(1) Bringing food, drinks, celebration cakes, cakes or other food items, as well as your own decorations, is not permitted unless otherwise agreed in writing. For approved items brought in, we may charge a corkage or cake-cutting fee as quoted.

(2) If food is brought in with our consent, the customer bears sole responsibility for it, particularly for its origin, quality, hygiene, cold chain, shelf life, ingredients, allergens and their labelling. We accept no liability for these products or their consequences (e.g. intolerances or illnesses). The customer indemnifies us against all claims brought by their guests and third parties in connection with food brought in.

(3) As a rule, we dispose of leftover food for hygiene and food safety compliance reasons. If food is taken away as an exception – whether in our containers or the customer's own –, responsibility passes to the customer upon handover. We accept no liability for transport, refrigeration, storage, reheating or subsequent consumption. The customer indemnifies us against third-party claims in this regard.

(4) Our liability under § 11 for food we prepare and serve ourselves up to the point of handover remains unaffected.

Food and drinks brought in by guests

(1) We reserve the right to control access to our premises; our house rules apply. Staff instructions must be followed.

(2) Not permitted in particular are: bringing or igniting pyrotechnics, fireworks, sparklers, fog and smoke devices; confetti, glitter and streamer cannons; open fires and candles without our approval; smoking and vaping (e-cigarettes, shisha) inside the building; weapons and dangerous objects of any kind; drugs; attaching items to walls, ceilings and furniture; damaging, soiling or removing inventory and decoration; entering the stage, technical, kitchen and staff areas; animals (except assistance dogs).

(3) We are entitled to refuse admission or to remove guests from the event, in particular in cases of obvious intoxication or influence of intoxicants, alcohol consumption in the parking lot or in front of the building, arrival after admission has closed, disturbance, harassment, insult or violence, violation of the dress code or house rules, as well as lack of ID at age-restricted events. For age verification and to enforce our house rights we may inspect an official ID and record the name and date of birth.

(4) In the cases referred to in paragraphs 2 and 3 there is no entitlement to a refund of the ticket or booking price.

(5) For damages that guests cause to the building, to inventory, to the decoration or to third parties, the respective perpetrator is liable; for event bookings the customer is additionally liable for his guests. Cleaning and repair costs, e.g. after confetti or pyrotechnics, will be invoiced; costs for a fire brigade or fire-alarm deployment shall be borne by the perpetrator.

Taking away food and leftovers

(1) Changes to the program schedule as well as the replacement of individual artists or participants (e.g. due to illness) do not entitle to a refund or reduction, as long as the overall character of the event is preserved.

(2) If an event is cancelled without our fault – in particular due to an official order, pandemic or epidemic, severe weather, power or supply failure, illness or cancellation of the main artist, or other force majeure – claims for damages and reimbursement of expenses (e.g. travel, hotel, decoration or loss costs of the customer) are excluded.

(3) In this case we will offer an alternative date; the ticket or the booking shall then be valid for the alternative date. If the customer does not accept the alternative date or no alternative date is possible, we will refund exclusively the ticket or booking price already paid (§ 326 BGB); further claims do not exist.

(4) Fewer attending guests and unused services do not give rise to a claim for reimbursement.

House rules, admission and safety

(1) The statutory rights in case of defects apply.

(2) We are liable without limitation for intent and gross negligence as well as for injury to life, body or health that is based on a breach of duty by us. For slight negligence we are liable only in the case of breach of essential contractual obligations and limited to the foreseeable, contract-typical damage. Otherwise liability is excluded. Liability under the Produkthaftungsgesetz remains unaffected.

(3) For brought food and items, taken-away food (§ 8), cloakroom and valuables we are liable only in the case of intent or gross negligence.

Liability

(1) At our events we and photographers and videographers commissioned by us make photo, video and audio recordings. We point this out at the entrance. We use the recordings for documentation and for the promotion of our venue and future events, in particular on our website, in social media (Instagram, Facebook, TikTok, YouTube, WhatsApp), in newsletters, flyers and posters as well as in press material. The legal basis is our legitimate interest (Art. 6 Abs. 1 lit. f DSGVO) and § 23 KUG for recordings of assemblies and events.

(2) Anyone who does not wish to be recorded at an event can inform the staff or the photographer. We will take this into account as far as possible, in particular for portrait and close-up shots, and will remove individual recordings on request in which the person is recognizably the focus. There is no obligation to hold events without recordings; an objection to recordings is not a reason for return or refund. Each guest is free to decide whether to attend the event.

(3) With persons who deliberately participate in front of the camera (e.g. interviews, model, costume or winner photos, stage performances), we obtain consent or a model release in text form before recording. The rights to all recordings made by us are owned by us.

(4) Private recordings by guests are permitted for personal use. For performances by artists, new titles, closed or private events we may prohibit photo, video and audio recordings and their publication in whole or in part; we will indicate this beforehand or on site. Recordings of complete performances and any commercial exploitation are prohibited without our written consent. Other guests may only be published recognizably with their consent.

(5) For celebrations and corporate events the customer shall inform his guests about these provisions. If the customer wishes that nothing from his event be published, he must agree this in text form with us in advance.

Data protection

(1) For raffles and prize competitions of Hellas Event Center GmbH the terms and conditions available at hellas-event.de/teilnahmebedingungen apply additionally. Participation is free and not dependent on the purchase of goods or services.

(2) Persons aged 18 and over with residence in Germany are eligible to participate. Employees and their relatives are excluded.

(3) Winners are determined by random selection and notified via the participation channel. If a winner does not report within 7 days, the prize will lapse and be re-drawn. A cash payment is excluded.

Applicable law and place of jurisdiction

To protect guests, staff and property and to clarify criminal offences, entrance, outdoor and cashier areas may be under video surveillance (Art. 6 Abs. 1 lit. f DSGVO). Monitored areas are marked. Sanitary and changing areas are not monitored. Recordings are generally deleted after 72 hours unless they are needed for evidence preservation.

What these notes apply to

(1) Side agreements, changes and additions — in particular regarding number of persons, price, scope of services, bringing food and beverages, recordings and proceedings — only apply if we have confirmed them in text form (e.g. e‑mail or WhatsApp). Oral promises by our staff are non‑binding without this confirmation.

(2) German law applies to the exclusion of the UN Sales Convention. For consumers this choice of law applies only insofar as mandatory consumer protection provisions of the state of residence do not oppose it.

(3) If you are a merchant, the place of jurisdiction is Hannover.

(4) Should individual provisions be invalid, the validity of the remaining provisions remains unaffected.
